When Dear Media planned a sold-out live podcast event at Webster Hall, they faced a unique challenge. Based in Texas, the team had never worked in the venue before and had limited time on site before doors opened.
While Webster Hall is an iconic New York music venue, transforming it into a polished, 500+ person live podcast production with celebrity talent required much more than a standard event setup. Dear Media needed a trusted production partner who could provide live event AV production coverage, anticipate challenges before they became problems, and manage every technical element outside the venue's scope.

Our approach
Solving the details before they became distractions.
Long before load-in, our team conducted multiple site visits to understand the space and develop a production plan tailored to the event. We identified the venue's capabilities and limitations, planned additional lighting needs, documented camera positions, tested projection solutions, and walked the venue with the client remotely so decisions could be made before anyone arrived on site.
Working from our familiarity with Webster Hall, we helped shape both the technical execution and the guest experience. We expanded the venue's existing audio system to support the number of microphones required; augmented lighting to create an inviting experience for the attendees, including uplights, spotlights, and lighting the sponsor booths; set up and lit a step-and-repeat for talent; and identified opportunities to improve production flow throughout the venue.
On event day, Elevation Media provided comprehensive live event AV production support, including project management, show calling, stage management, camera operators, video engineering, and audio engineering. Additional uplighting, wireless video monitoring, and a stabilized roaming camera elevated both the live experience and the final content capture.
Rather than simply executing a production plan, our role was to anticipate needs, solve problems before they surfaced, and give the client confidence that every technical detail was covered.
The event delivered a polished live experience for a sold-out audience while capturing dynamic, broadcast-quality content for future use. Beyond the planned production, we documented behind-the-scenes moments that highlighted the work involved in bringing the event to life—providing Dear Media with additional storytelling assets beyond the original scope of the engagement.
Most importantly, the client was able to focus on their talent, audience, and programming, knowing the production was in experienced hands.
